Document Accessibility

PDF

The biggest benefit to the PDF is ensuring that a document looks the same online as it does in print. Mac or PC, desktop or tablet, old or new system, a PDF will always look the way you meant it to look. An accessible PDF can be held to the same standard – no matter what assistive technology is used (JAWS, NVDA, etc.), the same information is provided to the reader. A tagged structure within the document represents its visual and structural components (e.g., images and headings) to assistive technology.

While PDFs are the most frequently used electronic documents (for the reasons mentioned above), we also remediate program-specific documents like those for Microsoft Word, PowerPoint, Excel, etc.

Our 7-Step Remediation Process

Let’s use a PDF document as an example:

  1. The document is received and entered into our workflow.
  2. Evaluate document for color contrast and color use issues and provide recommendations for changes. We can also make the required edits upon client approval.
  3. Create alt text for all images, table summaries, and document properties for client approval.
  4. Add Tags to the file using the project standard version of Adobe Acrobat Professional.
  5. Manually verify that the reading order is correct via the Tags panel. Also, by request we can correct in the Orders panel.
  6. Ensure the document passes the client’s required accessibility compliance (Adobe Accessibility Checker, PDF/UA, HHS Section 508 checklist, and/or the PAC3 Checker).
  7. Deliver a finalized copy of the accessible document along with any supporting documents and Certified Accessibility Report guaranteeing its compliance
